Purpose and scope

FESOL respects the privacy of clients, prospective clients, suppliers and other people whose information is provided in the course of its work. This policy explains the purposes for which personal information is collected and used, how information requests may be made, and the operation of this website.

Personal information is handled for a defined business purpose and in accordance with applicable law, including the Protection of Personal Information Act, 2013 (POPIA). The information required depends on the enquiry, professional appointment or business relationship.

Information we may collect

FESOL limits the information requested to what is relevant to the purpose of the engagement. Depending on that purpose, the information may include:

• Names, business contact details, job titles and professional affiliations
• Company details and information needed for proposals, appointments, invoicing and payment
• Project addresses, correspondence, drawings, photographs and other project records that may identify individuals
• Information supplied in an engineering assessment, inspection, incident review or investigation
• Technical information recorded by hosting and email services in operating their systems

How information is obtained

Information may be provided directly by you, by an authorised representative, or by another party involved in the project or business relationship. It may also be contained in records supplied for an appointed engineering service.

When you provide information about another person, you should have a lawful basis or authority to share it for the stated purpose. Please keep information accurate and advise FESOL of relevant changes. Avoid sending information that is unnecessary for the enquiry or appointment.

Engineering enquiries and this website

When you select Send enquiry, the website sends your name, email address, message and any optional contact details to FESOL by email so that we can respond. The form does not save your message in browser storage or a website database. Our hosting and email providers process the submission and may retain delivery records and email correspondence. The website temporarily keeps hashed technical identifiers and submission times to limit unwanted or repeated enquiries. You may also contact FESOL directly at info@fesol.co.za.

The website code does not currently include advertising trackers, analytics cookies, embedded social media feeds or third-party font services. Hosting providers may record technical information needed to operate and protect the service.

Links to Facebook, Instagram and other external websites take you to services operated by those providers. Their own privacy and cookie arrangements apply when you use their services. FESOL does not control their information-handling practices.

Why information is used

Information is used for purposes relevant to the relationship with FESOL, which may include:

• Responding to enquiries and preparing proposals or professional appointments
• Providing, documenting and administering engineering services
• Communicating with clients, project teams, suppliers and relevant authorities
• Managing accounts, invoices, payments and business records
• Maintaining appropriate technical records and responding to queries or disputes
• Meeting applicable legal obligations and protecting legitimate business interests

Sharing information

Project information may need to be shared with the client, the appointed professional team, specialist providers, contractors or relevant authorities where that is necessary for the agreed work and lawful for the purpose. Administrative information may be processed by service providers supporting communications, hosting, accounting or other business functions.

FESOL will seek consent where it is required for a proposed disclosure. Personal information may also be disclosed where required or permitted by law. FESOL does not sell or rent personal information for money.

Retention and security

Information is retained for as long as reasonably required for the purpose for which it was collected, the professional appointment, applicable record-keeping duties or other lawful grounds. The appropriate retention period depends on the type of record and the circumstances. Information that is no longer required should be securely deleted, destroyed or de-identified as appropriate.

FESOL takes reasonable steps to protect personal information against unauthorised access, loss or misuse. Access should be limited to people and service providers who need the information for their responsibilities. No electronic communication or storage system can be guaranteed to be completely secure.

If you believe information supplied to FESOL has been compromised or sent in error, contact info@fesol.co.za with the relevant details.

Service providers and international processing

Email, hosting and other service providers may process or store information in locations outside South Africa. Where this is relevant, the processing and any transfer must be considered against the applicable legal requirements and the purpose for which the service is used.

The website does not create a public project repository or invite visitors to upload confidential technical files. Send sensitive project records only through an agreed communication method.

Marketing communications

Any direct marketing must be carried out on a lawful basis and with the consent required for the relevant communication. You may request that marketing communications stop by using an available unsubscribe option or contacting info@fesol.co.za.

An engineering enquiry is not treated by this website as a subscription to an advertising or mailing-list service.

Your information requests

Subject to the applicable legal requirements, you may ask about the personal information held about you, request access or correction, request deletion where appropriate, or object to particular processing. A request may need to be assessed against legal duties, professional records and the rights of other people.

Send requests to info@fesol.co.za. Please identify the relevant enquiry or relationship and explain the request. FESOL may need sufficient information to verify your identity and authority before responding. If a prescribed fee or formal procedure applies, this should be communicated to you.
